Recurring transactions

QuickBooks Online can repeat invoices and other transactions on a schedule. There are three types (QuickBooks Canada):

• Scheduled creates and can email the transaction automatically. Good for fixed monthly charges.
• Reminder prompts you to review and send it. Good when the amount changes a little each time.
• Unscheduled saves a template to use whenever you need it.

Recurring transactions are available on QuickBooks Online Essentials, Plus, and Advanced.

Automatic invoice reminders

QuickBooks Online can email reminders for invoices you have already sent. You can set up to three reminders, timed up to 90 days before or after the due date (QuickBooks Canada). If you chase overdue invoices by hand today, switch this on first.

Bank rules

Bank rules categorize downloaded bank transactions automatically. Each rule can use up to five conditions, and with auto-add turned on, matching transactions are added without anyone clicking (QuickBooks Canada). Use them for the charges that look the same every month: rent, software, fuel cards.

Bank feed matching

When a deposit or payment in your bank feed matches a transaction already in QuickBooks, you can match the two instead of entering it again (QuickBooks Canada).

Where the built-in features stop

QuickBooks automates what happens inside QuickBooks. The trouble starts when work begins somewhere else:

• Jobs and orders live in a dispatch app, a job management tool, or a spreadsheet.
• Invoices are built there, then typed again into QuickBooks.
• Payments arrive by e-Transfer, and someone reads each email to know which invoice it pays.
• When an invoice is paid in QuickBooks, someone marks it paid in the other app too.

Every one of those steps is a person copying data between two systems. That is where custom automation pays off. Here is what we have built.

1. Two-way invoice sync

For a freight company we work with, every invoice used to be typed a second time into QuickBooks, and tax was worked out by hand. We connected their freight platform to QuickBooks Online in both directions:

• Invoices created in the app appear in QuickBooks Online with their lines, HST, and attachments.
• Invoice numbers match in both systems, so nobody has to translate between them.
• A sync panel in the app shows the status of every invoice.

2. Paid status that flows back

When a customer pays in QuickBooks, their app marks the invoice paid and locks it. Nobody updates the app by hand, and nobody can accidentally edit an invoice that has already been paid.

That lock matters more than it sounds. When two systems hold the same invoice, the worst case is someone changing one copy after the money is in. Locking paid invoices removes that risk.

3. Payments matched as they arrive

For our own business, we built an e-Transfer matcher. Interac payment notices are read as they arrive, matched to the right invoice, and recorded as paid. Nobody scrolls through the inbox at month end.

4. QuickBooks Time off, on the team calendar

If your team tracks time in QuickBooks Time, approved time off is useful well beyond payroll. For the freight company, approved time off in QuickBooks Time flows onto the app's events calendar on a schedule, so dispatch sees who is away without asking.

The same idea works for any business that schedules people: field crews, technicians, or clinic staff.

5. Failures you actually hear about

A sync that fails quietly is worse than no sync, because everyone assumes the books are right. Two habits prevent that:

• A status view that shows every record's sync state, like the freight platform's sync panel.
• Alerts that reach a person. Our own automations report their own failures to Microsoft Teams, so problems get fixed fast.

6. Reports that combine QuickBooks with everything else

QuickBooks reports show the accounting side. The questions owners ask usually cross systems: which customers are profitable once job costs are counted, or which crew had the most callbacks.

How to plan a QuickBooks integration

If you are ready to connect QuickBooks to your other systems, plan these decisions first. They matter more than the code.

1. List every place data is typed twice. Invoices, customers, items, payments, time.
2. Pick a home for each kind of record. Customers might start in your app. Payments start in QuickBooks. Two systems should never both be "the truth" for the same field.
3. Map your tax codes. HST, GST, and PST need to land on the right QuickBooks tax code for every line. Get your bookkeeper to sign off on the mapping.
4. Map your items and accounts so revenue lands where your accountant expects it.
5. Go one way first, then two. Send invoices to QuickBooks and get that right before sending paid status back.
6. Test with a copy, not your live books. Run real examples through a test company before switching on.
7. Watch the first month closely. Compare both systems weekly until you trust them.

Common questions

Can QuickBooks Online sync with my own software?

Yes. Intuit provides an API for QuickBooks Online, which is how custom apps create invoices, record payments, and read paid status. What gets synced, in which direction, and how often is up to you. The planning steps above matter more than the code.

Will an automation mess up my books?

It can if it is built carelessly. The safeguards are simple: matching invoice numbers in both systems, locking invoices once paid, a status view for every record, alerts when something fails, and testing on a copy before going live. Have your bookkeeper review the tax and account mapping before launch.

Does this work with QuickBooks Desktop?

The QuickBooks work in this article is built on QuickBooks Online, which is designed to connect with other apps over the internet. If you are on Desktop, ask about it on your call. It is harder to connect, and moving to QuickBooks Online is sometimes part of the answer.

Do I still need a bookkeeper?

Yes. Automation removes the typing, not the judgment. Your bookkeeper still reviews the books, handles the exceptions the automation flags, and signs off on how everything is mapped. They just stop spending hours on data entry.
